This Privacy Policy explains how WaContacts ("WaContacts", "we", "us") collects, uses, discloses and protects personal information when you use our platform and services, including our WhatsApp CRM and WhatsApp Business Platform integrations.
1. Introduction
Welcome to WaContacts. Our platform enables businesses to manage customer conversations, send WhatsApp messages, create message templates, and view analytics — all from a single CRM dashboard. This Policy applies to both Business Users (companies and their representatives) and End Users (people who contact businesses using WaContacts).
2. Definitions
- Account: a unique account created for a Business User to access our Service.
- Business User: an individual or company using the Platform to manage WhatsApp communications and/or business listings.
- End User: a visitor, customer or consumer who contacts a Business User through the Platform.
- WABA: WhatsApp Business Account — owned and operated by the Business User, not by WaContacts.
- Personal Data: any information relating to an identified or identifiable natural person.
- Usage Data: data generated by the use of the Service (e.g., IP address, timestamps, pages visited).
3. What We Collect
We collect the following categories of information:
- Account & Business Information: business name, contact person name, business email, phone number, address, listing details and other registration data.
- Messaging & Chat Metadata: when you connect a WhatsApp number via the WhatsApp Business Platform, we may store metadata such as message IDs, timestamps, sender and receiver phone numbers, message status and response times. We do not access or store message content unless you expressly authorise us to do so.
- End User Contact Information: phone numbers or contact details shared by End Users when they message Business Users (as part of normal platform usage).
- Payment & Transaction Data: billing name, payment method details and transaction records when you purchase WaPoints or paid services (payment processors may hold additional data).
- Device & Usage Data: IP addresses, browser type, pages visited, referral source and analytics data.
- Cookies & Tracking: session cookies, persistent cookies, analytics tags and marketing pixels (see section 10).
4. WhatsApp Business Platform & Technology Provider
WaContacts operates as a Technology Provider (Solution Partner) under Meta's WhatsApp Business Platform. This means:
- Businesses connect their own WhatsApp Business Accounts (WABAs). WaContacts does not own, operate, or control any WhatsApp Business Account on behalf of its users. Each business provides its own Phone Number ID, WABA ID, and System User access token when connecting to the platform.
- All WhatsApp API calls made through WaContacts are executed using the connecting business's own credentials. WaContacts is the interface; the business is the sender.
- WhatsApp message content transmitted through the platform is governed by Meta's WhatsApp Business Terms of Service and Meta's Privacy Policy. WaContacts stores only the metadata required to display conversations in the CRM dashboard (message IDs, timestamps, delivery status).
- Template management: when a Business User creates or submits a message template through WaContacts, that template is submitted to Meta using the business's own WABA credentials for review and approval. WaContacts stores template text and status solely to display them in the business's dashboard.
- When a Business User disconnects their WhatsApp account from WaContacts, we cease all API calls on their behalf immediately. Residual metadata (e.g., message history displayed in the inbox) may be retained for up to 30 days before deletion, or deleted sooner on request.
5. How We Use Your Information
- To operate, maintain and provide our Platform and features, including the WhatsApp CRM inbox, broadcast tools, contact management and template management.
- To enable messaging via the WhatsApp Business Platform and provide analytics (message counts, delivery rates, campaign performance).
- To process payments, manage credits (WaPoints) and billing.
- To provide customer support, security notices and account-related communications.
- To personalise and improve the Service, perform analytics and A/B testing.
- To comply with legal obligations, prevent fraud and enforce our Terms of Service.
6. Legal Basis & Consent
By registering and using the Service you consent to the processing described in this Policy. For Business Users in Nigeria, we process Personal Data in accordance with the Nigeria Data Protection Regulation (NDPR). If you are located in another jurisdiction you may have additional rights under local law (for example EU GDPR or CCPA).
7. Sharing & Disclosure
We do not sell Personal Data. We may share information only in the following circumstances:
- Service Providers: third parties who provide hosting, payment processing, analytics, email delivery and other services (each bound by confidentiality obligations).
- Meta / WhatsApp: when a Business User connects a WhatsApp Business Account, the relevant template and messaging data is processed by Meta's WhatsApp Business Platform infrastructure using that business's own credentials. Your use of WhatsApp services is also subject to Meta's terms and policies.
- Business Transfers: if WaContacts is involved in a merger, acquisition or sale of assets, user data may be transferred as part of the transaction.
- Legal & Safety: to comply with legal obligations, respond to lawful requests, or protect rights, safety and property.
International Transfers: Data may be processed or stored in countries outside Nigeria (for example, Meta-hosted infrastructure or cloud hosting providers). We apply reasonable safeguards where required by law.
8. Data Retention
We retain Personal Data only as long as necessary to fulfil the purposes described in this Policy or as required by law. Typical retention periods:
- Account & listing data: while the Account is active and for up to 12 months after deactivation.
- Messaging metadata and analytics: retained for up to 12 months after inactivity, then anonymised or deleted.
- Payment & transaction records: retained for the legally required period (for example tax and audit purposes).
- WhatsApp connection credentials (Phone Number ID, access token): deleted immediately upon account disconnection or account deletion request.
9. Your Rights & Data Deletion
You have the right to access, correct, delete or object to the processing of your Personal Data. To exercise these rights, contact us at support@wacontacts.com.

10. Cookies & Tracking
We use cookies and similar technologies for functionality, analytics and marketing. Typical categories:
- Essential cookies: required for core functionality and security.
- Preference cookies: remember user settings and preferences.
- Analytics cookies: measure usage and performance (e.g., Google Analytics).
- Marketing cookies: used for advertising and retargeting.
You can manage cookie preferences through your browser settings. Disabling some cookies may impact the Service experience.
11. Children's Privacy
Our Service is not directed to children under 18. We do not knowingly collect Personal Data from minors without parental consent. If you believe we have collected data from a minor, contact us and we will delete it.
12. Security
We implement reasonable administrative, technical and physical safeguards to protect Personal Data (for example encryption, access controls and periodic audits). However, no method of transmission or storage is completely secure and we cannot guarantee absolute security.
13. Changes to This Policy
We may update this Policy from time to time. We will post the updated Policy on this page with a revised "Last updated" date. For material changes, we will provide notice by email to Business Users or a prominent notice on the site.
